# Patient Intake Tools

> The tools Emma calls mid-conversation to validate and submit a caller's intake details

Same calling convention as the Patient Journey tools — Vapi calls these live during a call, authenticated with the x-vapi-secret header rather than a dashboard JWT. See that page for the shared request/response envelope.

## validate\_intake\_field

Format-only validation as the caller speaks each field, so Emma can ask again right away instead of catching a bad value at the end.

phone accepts 7–15 digits after stripping formatting. dateOfBirth just needs to parse as a real past date.

## submit\_intake

Writes the full intake through to the Patient record once every field has been collected and validated.

On success, this also writes name/email/phone/address/reasonForVisit to the Patient record and syncs to your connected CRM if the clinic has one enabled. If the CRM sync fails, the Patient record is still saved — the response reports success: false with error: "crm sync failed" so the failure gets flagged for staff follow-up, but the patient's data isn't lost.
